Aviation Procurement Specialist
Job Summary:
Works directly under the Director of Maintenance and interacts with maintenance personnel, purchasing and receiving of parts supplies that are processed in a consistent, timely manner. Provide flexible support to various areas within the maintenance department.
Responsibilities:
- Under the Director of Maintenance's guidance to prioritize parts/materials needs and keep personnel informed of requisition status daily to ensure timely delivery of parts/materials.
- Processing requisitions by entering data into multiple databases for supplies, researching products, conduct extensive searches, clarifying specification and document competitive quotes.
- Evaluating price, quality, quantity, terms and lead time for delivery. Organizing the information collected from vendor quotes in a clear and accurate manner to review with the Director of Maintenance for purchase approval before ordering.
- Create purchase orders in QuickBooks with pertinent information and attaching correct documentation for the ordering and purchasing of aviation and non-aviation related parts, tools, materials, and supplies through approved vendors at prices most economical to the company while accurately assigning the purchase order under the correct job.
- Processes outside work by tracking purchases for the job and creating “work order” invoice for the accounting department to review and invoice customers.
- Maintains accurate inventory of parts and materials received along with reconcile accompanying shipping documents and certifications with actual parts and materials that arrived.
- Includes maintaining reports, files and records of each procurement transaction.
- Ensuring that all certification paperwork required for purchased and manufactured parts is completed and maintained in appropriate area prescribed by the departmental procedures.
- Perform all shipping and receiving duties.
- Tracking of incoming and outgoing packages.
- Receives and verifies shipments according to company procedures.
- Packages parts to be shipped out of facility and prepares shipping labels and documentation. May prepare custom documents and shipper declarations as required.
- Preparing reports, analyzing and interpreting data as required.
- Perform other duties as assigned by the Director of Maintenance.
Requirements:
- Must be able to manage multiple project opportunities simultaneously.
- Average computer skills in order to use Microsoft suite applications (Word, Excel, and Outlook) and communicate via email and/or phone with employees, customers and vendors.
- QuickBooks entering purchase orders, invoices and being able to accurately account for purchases to run reports as needed.
- Lift 50 lbs.
