Position Overview
The Assistant Site Manager / Checkride & Scheduling Coordinator supports daily operations at one of our flight training locations. This role ensures smooth coordination between students, instructors, and Designated Pilot Examiners (DPEs), while maintaining accurate scheduling, progress tracking, and administrative records. The ideal candidate is organized, detail-oriented, and able to communicate effectively across teams.
Key Responsibilities
· Scheduling & Student Coordination
- Communicate with students enrolled in Standard or Priority Access Training (PAT) programs; document interactions in CRM.
- Schedule and manage student reservations in Flight Schedule Pro (FSP) based on training duration and payment terms.
- Track student progress against required training frequency using reports and syllabi.
- Coordinate student transitions when instructors change assignments.
- Conduct periodic progress check-ins and escalate concerns to Enrollment Managers as needed.
· Checkride Coordination
- Receive checkride requests from instructors and add students to the checkride waitlist within 48 hours.
- Coordinate directly with DPEs to confirm checkride dates.
- Complete checkride preparation checklists and verify all administrative items (aircraft, logbooks, timing).
- Track End-of-Course (EOC) completions and checkride results in Excel and CRM.
- Prepare and send checkride notices through IntakeQ, reviewing details with students.
- Generate monthly reports on checkride pass rates and Check Instructor performance.
· Administrative & Reporting
- Run monthly KPI reports: instructor flight vs. ground hours, DPE pass rates, and EOC tracking.
- Provide operational support to the on-site team and greet walk-in customers.
- Maintain a clean, professional, and organized office environment.
- Assist instructors with Flight Schedule Pro issues (e.g., 50-hour restriction overrides).
- Order business cards, print training documents, and ensure all site materials are up to date.
- Supervise daily instructor activity at the assigned location.
Required Skills & Qualifications
- Strong Microsoft Excel proficiency (data entry, reports, formulas).
- Excellent written and verbal communication skills (email and phone).
- Highly organized with the ability to manage multiple priorities.
- Detail-oriented and proactive problem solver.
- Professional demeanor and customer service mindset.
- Previous aviation or scheduling experience preferred but not required.
Compensation
$18.50 per hour
