Position Summary
AVID Avionics is seeking a highly organized, self-directed, and detail-oriented Administrative Operations Manager to join our growing team. As a Certified FAA Part-145 Repair Station, accuracy, organization, professionalism, and regulatory compliance are essential to our daily operations.
This role combines office administration with operational management and requires an individual who is dependable, motivated, and capable of managing multiple responsibilities with minimal supervision. The ideal candidate thrives in a fast-paced environment, demonstrates strong initiative, and maintains exceptional attention to detail, particularly in support of FAA-regulated operations and documentation.
The Administrative Operations Manager will oversee front office functions, customer support, scheduling coordination, records maintenance, bookkeeping support, inventory management, and operational administrative tasks to help ensure smooth and compliant business operations.
Supervisory Responsibilities
Key Responsibilities
- Answer and direct calls and correspondence (emails, letters, etc.)
- Provide general administrative support and customer service to visitors and clients
- Organize and schedule appointments and aviation repair jobs
- AND/OR Coordinate and support day-today repair station operations
- Maintain accurate records, documentation, and filing systems in accordance with FAA regulations and company procedures.
- Track deadlines, certifications, training records, and required operational documentation
- Assist with FAA compliance processes, audits, manuals, and operational tracking
- Manage workflow coordination between technicians, vendors, customers, and leadership
- Maintain inventory, including ordering office supplies, materials, and parts
- Prepare purchase orders, invoices, and bank deposits
- Perform day-to-day financial transactions, including verifying, classifying, and posting accounts receivable data
- Reconcile accounts to ensure all payments are properly accounted for and posted
- Update and maintain office policies and procedures
- Assist in management of the company e-commerce storefront
- Assist leadership with process improvement initiatives and operational organization
- Help maintain a professional, organized, and accountable workplace culture
Required Skills & Abilities
- Prior office administrative experience required
- Proficiency in Microsoft 365 (Outlook, SharePoint, Teams, Word, Excel, etc.)
- Proficiency in QuickBooks
- Excellent time management skills with the ability to prioritize effectively
- Strong attention to detail and problem-solving abilities
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multitask efficiently
- Ability to work independently with little supervision
- Self-motivated, proactive, and dependable
- Ability to maintain professionalism and accuracy in a regulated aviation environment
Education/Experience:
- High school diploma or equivalent required
- Bachelor’s degree preferred
- Prior experience as an office administrator or similar administrative role required
- Aviation, repair station, manufacturing, logistics, or regulated-industry experience required
