Position Summary
Jet OUT is seeking a Ground Instructor / Flight Operations Administrator to support pilot training, records management, and operational compliance activities within our Part 135 operation.
Reporting to the Director of Training, this position combines classroom instruction with administrative ownership of pilot qualifications, training records, and regulatory compliance tracking. The role serves as a key support resource for both the training and flight operations departments by ensuring pilot records remain accurate, current, and audit-ready while supporting the delivery of high-quality training programs.
This role is designed for an aviation professional who enjoys supporting pilots both inside and outside the classroom. Key Responsibilities
Ground Training
- Conduct ground training for initial, recurrent, and specialty courses, including basic indoctrination and additional training events as required.
- Facilitate classroom, virtual, and other training sessions in accordance with approved training programs.
- Support pilot standardization through consistent delivery of company procedures, policies, manuals, and operational expectations.
- Maintain instructor qualifications and professional development consistent with company standards.
Training Records Administration
- Maintain accurate and complete pilot training records in accordance with FAA regulations, company policies, and approved training programs.
- Track, print, file, and record all FlightSafety training records and ensure training completion data is accurately entered into company systems.
- Maintain training records within FL3XX, the Pilot Records Database (PRD), and other company recordkeeping systems as required.
- Support company compliance initiatives by ensuring pilot records remain current, accurate, and audit ready.
Flight Operations Compliance Tracking
- Serve as the primary administrator for pilot qualification and expiration tracking.
- Monitor pilot licenses, medical certificates, training events, qualifications, and required operational documentation to ensure compliance with company and regulatory requirements.
- Track items maintained within the FL3XX Licenses module and proactively communicate upcoming expirations to pilots and operational leadership.
- Generate and distribute reminder notifications for items approaching expiration, including but not limited to AirTera training, hazardous materials training, medical certificates, passports, visas, and other required credentials.
- Identify discrepancies, missing documentation, or overdue items and coordinate corrective action with pilots and training and operational leadership.
Flight Operations Administrative Support
- Maintain and update the Master Crew List (MCL), including pilot additions, deletions, status changes, and qualification updates.
- Assist the Director of Training and Flight Operations leadership with administrative projects and operational initiatives.
- Coordinate documentation and recordkeeping related to pilot onboarding, transitions, and departures.
- Support communication between the training department, flight operations, scheduling, and other operational departments.
- Assist with special projects, data management, reporting, and other administrative responsibilities as assigned.

- Limited travel to other Jet OUT locations may be required
Required Qualifications
- 2+ years of experience in Part 135, Part 121, Part 142, military, or equivalent aviation environments
- Previous experience conducting aviation ground instruction or training
- Strong working knowledge of FAA regulations and air carrier operations
- Excellent presentation and communication skills
- Strong organizational skills and attention to detail
- Proficiency with iOS applications and training technology platforms
- Ability to work independently and collaboratively
Preferred Qualifications
- Certified Flight Instructor (CFI), CFII, MEI and/or AGI, IGI
- Previous experience as a Ground Instructor, Training Captain, Check Airman, or Instructor Pilot
- Previous training records, crew records, or regulatory compliance experience
- CE-525 type rating
- Experience developing aviation courseware and lesson plans

Pay: From $70,000.00 per year
