Position Overview
The Experienced Charter Scheduler is responsible for the daily planning, scheduling, and coordination of Skyward Aviation aircraft and flight crews. This position plays a critical role in ensuring that every trip is planned safely, efficiently, and to the highest standards of customer service while maximizing aircraft utilization and revenue opportunities.
The ideal candidate has previous experience in aircraft charter scheduling, understands the complexities of Part 135 operations, and can confidently make time-sensitive scheduling decisions while balancing aircraft availability, crew legality, maintenance requirements, customer needs, and operational efficiency.
This position works closely with the Maintenance, FBO, Accounting, and Customer Concierge teams to ensure every trip runs as smoothly as possible from initial quote through completion.
Essential Job Functions
- Independently manage daily aircraft and crew schedules to maximize aircraft utilization and operational efficiency.
- Develop and maintain complex trip schedules while considering aircraft availability, crew duty periods, legal rest, positioning, and operational requirements.
- Monitor and manage schedule changes, delays, cancellations, aircraft swaps, and other operational disruptions.
- Proactively identify scheduling conflicts and develop solutions before they impact customers or flight operations.
- Coordinate pilot travel and logistics to maximize crew efficiency while ensuring all required crew rest is maintained.
- Coordinate aircraft maintenance requirements and aircraft availability with the Maintenance Department.
- Coordinate flight training and crew scheduling with the Chief Pilot(s).
- Communicate daily with flight crews regarding upcoming assignments, schedule changes, and operational expectations.
- Provide accurate and timely charter quotes to new and existing customers.
- Coordinate all aspects of customer trips, including fuel, catering, ground transportation, hotels, and other special arrangements.
- Work closely with the Charter and Sales teams to identify scheduling opportunities and maximize revenue.
- Coordinate flights with FBO and Line Service teams to ensure smooth departures and arrivals.
- Maintain accurate and complete customer and trip records.
- Communicate pricing, trip expenses, and applicable information to Accounting for accurate post-flight billing.
- Complete thorough daily pass-downs communicating schedule changes, operational concerns, efficiency opportunities, and shift-change information.
- Maintain strong working relationships with pilots, customers, brokers, vendors, and internal departments.
- Build and maintain customer relationships through responsive, professional, and solutions-oriented communication.
- Assist with complex customer requests and special arrangements, working with the Customer Concierge and appropriate Skyward departments when necessary.
- Help identify opportunities to improve scheduling processes, operational efficiency, and the overall customer experience.
- Serve as a resource and mentor to less-experienced Charter Schedulers.
- Other duties, projects, and responsibilities as assigned.
Qualifications & Experience
- Previous experience in aircraft charter scheduling, dispatch, or a closely related aviation operations position.
- Strong understanding of aircraft scheduling, crew scheduling, and the operational requirements of Part 135 charter.
- Ability to confidently manage multiple aircraft, crews, customers, and changing priorities simultaneously.
- Strong understanding of crew duty limitations, rest requirements, and scheduling considerations.
- Strong communication and organizational skills.
- Excellent attention to detail and ability to maintain accurate records.
- Ability to remain calm and make sound decisions in a fast-paced, time-sensitive environment.
- Strong customer service skills and professional communication.
- Ability to work effectively with pilots, maintenance personnel, FBO staff, sales, accounting, and leadership.
- Proficiency with scheduling software, email, Microsoft Office, and other operational systems.
- Ability to work independently and take ownership of operational decisions.
- Aviation experience is required; charter scheduling experience is strongly preferred.
Schedule & Availability
Charter operations require flexibility and availability outside of a traditional Monday–Friday schedule. The successful candidate must be willing to work the schedule necessary to support Skyward Aviation's charter operation, including weekends, holidays, and schedule changes when operationally required.
Training
Skyward Aviation will provide in-house training and onboarding appropriate to the position. Additional training may be provided as needed to ensure the employee is fully prepared to meet Skyward Aviation's operational, safety, customer service, and scheduling standards.
Compensation
Compensation will be discussed during the interview process and will be determined based on the candidate's level of experience, qualifications, and availability.
