About AirSlice
AirSlice is a fast-growing private aviation management company focused on redefining the joint aircraft ownership experience through precision, owner service, and operational excellence. We operate a four-aircraft fleet under Part 91 out of Fort Lauderdale Executive (FXE) and Miami-Opa Locka Executive (OPF).
As we scale, we are hiring an Operations Dispatcher to set up and coordinate trips across our fleet according to our established procedures.
Important: AirSlice operates a joint ownership model, not a fractional program. Our owners hold undivided interests in specific aircraft. That distinction shapes how we schedule, how we bill, and how we communicate with owners, and you will be expected to understand it from week one.
Role Overview
You will set up and coordinate AirSlice trips by following our procedures, working remotely under the direction of Operations. We will train you on how we do things. The bar is reliability: the trip sheet is right, the permit went in on the lead time, the crew has what they need before they need it.
That does not mean checking your brain at the door. If you see a better way to do something, tell us, and if you want to take on more than what is written here, there is plenty to take. The one firm rule is that when something falls outside our procedures, you loop in Operations before you act rather than after.
Day-to-day work is remote, but prefer applicants based in the South Florida area for occasional in-person needs.
Trip setup happens during typical business hours, plus a few on-call shifts a week outside them. On-call is shared across the team, so it is a few shifts, not every night.
Responsibilities
Flight Planning & Trip Preparation
- Build routing and fuel plans using our standard procedures and the owner preferences on file
- Run weight and balance and takeoff and landing performance for each leg using company tools and templates
- Pull weather and NOTAMs and pass anything that affects the plan to the crew and to Operations
- Build trip sheets and flight packages to the company template, delivered to the crew on the standard timeline
- File flight plans domestically and internationally, and watch for route or slot changes
- Track active trips and notify Operations immediately when a delay, diversion, mechanical or weather event puts a leg at risk
- Close out each trip: flight logs, fuel receipts, landing and handling invoices, and post-flight records filed where they belong
Trip Logistics
- Arrange FBO handling at every stop: parking, hangar when required, ramp access, and any special requests
- Order fuel against contract pricing; know where our fuel is cheapest and plan uplifts accordingly rather than taking posted retail
- Coordinate catering to owner preference, including dietary restrictions and standing orders
- Book ground transportation for owners and passengers, and hotels and rental cars for crew
- Manage crew travel when positioning is required, including commercial airline bookings
- Reconcile trip expenses and flag pricing that looks wrong before it reaches accounting
- Maintain airport, FBO, handler and vendor records so the next person planning that trip starts with good information
International Operations
- Submit overflight and landing permit requests on the lead times listed in our procedures
- Book ground handlers abroad and confirm services in writing before departure
- Complete customs and immigration filings, including eAPIS, and confirm CBP decal status
- Request airport slots and PPRs where our procedures call for them
- Track passport, visa and crew document expirations on the company tracker and flag them to Operations early
- Escalate anything a country requires that is not covered in our procedures rather than working around it
Crew Scheduling & Owner Communication
- Assign crew to trips from the qualification and currency records Operations maintains
- Build schedules that respect company rest standards
- Track crew training, medical and recurrent due dates on the company tracker and flag them to Operations
- Take trip requests from owners, confirm the details, and log them accurately
- Pass changes along promptly and accurately: delays, aircraft swaps, weather, maintenance
- Send scheduling conflicts between owners to Operations. You do not negotiate these
- Keep the schedule accurate and current so anyone looking at it sees the truth
Schedule & Coverage
- Trip setup during typical business hours
- A few on-call shifts a week outside business hours, shared across the team
- Reasonable time off policy plus PTO
We're Looking For
- South Florida preferred, not required
- Some exposure to flight operations, scheduling, trip coordination, or travel logistics. We will train you on our procedures
- Willingness to follow a written procedure exactly, every time, including the steps you do not yet understand the reason for
- Extreme attention to detail; accuracy is critical in aviation
- Clear written and verbal communication. You will be writing to owners and crews all day
- Comfortable escalating early instead of guessing
- Organized enough to manage your own day without someone checking on you
- Dedicated home office with reliable high-speed internet and a quiet space for owner and crew calls
- Aviation experience, an aviation degree, or an FAA Aircraft Dispatcher certificate (ADX) is a plus, not a requirement
- Spanish a plus, given our Caribbean and Latin American flying
