Coulson Aviation is looking for a highly organized and driven Flight Operations Administrative Assistant to help keep our flight operations running safely, efficiently, and by the book. This on‑site role is based in Thermal, California and sits at the center of everything—connecting flight crews, leadership, maintenance, training, and safety. If you excel in fast‑paced aviation environments and enjoy being the go‑to person who keeps operations moving, this role is for you.
What You’ll Do
- Serve as a key administrative partner to Flight Operations leadership and Chief Pilots
- Keep schedules, calendars, meetings, minutes, and follow‑up actions running smoothly
- Coordinate travel and local logistics, including hotels and vehicles in the Thermal and Palm Springs area
- Maintain accurate and up‑to‑date flight operations records, reports, and training documentation
- Track training, equipment, and compliance requirements across electronic and paper systems
- Support document control, procurement, airport badging, billing coordination, and basic bookkeeping
- Act as a professional point of contact for internal teams and external partners
- Jump in on special projects and operational initiatives as needed
What You Bring
- High school diploma or equivalent (post‑secondary education preferred)
- At least two years of administrative or office support experience
- Strong organizational skills with the ability to prioritize and multitask effectively
- Professionalism, discretion, and attention to detail in everything you do
- Confidence using Microsoft Office and Adobe Acrobat
Nice to Have
- Experience in aviation or flight operations
- Familiarity with aviation terminology, crew records, or training systems
- Experience working with electronic recordkeeping or compliance systems
