Mission Objectives ? The Office Administrator/Administrative Support Specialist directly supports the Pacific Air Forces (PACAF) operations and maintenance missions conducted by the 611th Air Support Squadron. This position is integral to the contract?s goal of ensuring the secure, timely, and efficient movement of personnel to remote Pacific Air Forces Regional Support Center (PRSC) sites. By providing end-to-end administrative support for Site Arrival Request (SAR) processing and travel management, the incumbent ensures all visiting personnel are thoroughly vetted and all travel logistics are secured in accordance with federal security and operational standards. This role safeguards operational continuity and compliance, and enhances mission efficiency through rigorously managed administrative solutions.
Position Responsibility Summary
- Receive, process, and maintain records for all Site Arrival Requests (SARs) for personnel requiring access to remote PRSC sites.
- Coordinate security vetting through PACAF PRSC channels, ensuring all visitors have validated security clearance and SAR approval prior to site access.
- Implement and maintain error tracking systems to ensure submitters correct incomplete or inaccurate SAR data.
- Deliver comprehensive travel planning and coordination services, including booking of flights, accommodations, and ground transportation.
- Arrange and coordinate with PRSC Transportation Office, Travel Management Office (TMO), and Air Mobility Command (AMC) for both military and civilian travel.
- Serve as the primary point of contact and travel coordinator for all visitors, ensuring all travel approvals and certifications are processed per established routing.
- Process and transmit required travel documentation to all relevant stakeholders in a timely and accurate manner.
- Maintain complete and current traveler profiles, to include updated addresses, contact details, security clearances, and emergency/evacuation plans.
- Provide accurate, timely, and comprehensive guidance to travelers, PRSC stakeholders, and government personnel regarding travel, access, and security procedures.
- Respond to inquiries, resolve administrative issues, and ensure all actions are well-documented according to contract and regulatory requirements.
- Maintain data integrity and security as per federal standards and contract mandates.
