The Owner Relations Coordinator is the day-to-day heartbeat of Pinnacle Aviation’s owner experience. This role is the primary operational contact for all aircraft owners — ensuring every trip is flawlessly executed, every milestone celebrated, and every owner feels genuinely known and cared for. Reporting directly to the Director of Owner Relations & Management, the Coordinator bridges owners, sales, trip coordination, and operations into one seamless experience.
CORE RESPONSIBILITIES
JetInsight Operations & Trip Management
- Serve as the primary JetInsight operator for all owner-related trips and data
- Ensure all trips are accurately loaded into JetInsight
- Work with Charter sales on Owner flights and Charter Flights
- Coordinate closely with Trip Support Specialist to ensure every trip detail is flawlessly executed
- Verify trip accuracy including routing, passenger details, catering, and special requests before every departure
- Monitor active trips and proactively communicate any changes or updates to owners and internal teams
Owner Relationship Management
- Serve as the warm, day-to-day face of Pinnacle Aviation to all aircraft owners
- Build genuine personal relationships with every owner — knowing their preferences, family, travel habits, and what matters to them
- Maintain detailed owner profiles including travel preferences, dietary needs, cabin setup preferences, and personal milestones
- Proactively reach out to owners before and after every trip to ensure satisfaction
- Handle all routine owner inquiries, requests, and communication with professionalism and warmth
- Escalate complex issues or strategic matters to supervisor promptly
Owner Experience & Personalization
- Maintain a proactive owner occasion calendar tracking birthdays, anniversaries, milestones, and special events
- Coordinate personalized cabin experiences for life events — including decorations, gifts, custom catering, and celebratory touches
- Send personalized acknowledgements, cards, and follow-ups for owner milestones
- Ensure every owner feels remembered, valued, and genuinely celebrated at Pinnacle
- Coordinate with trip support and the charter team to bring personalized experiences to life on every trip
Internal Coordination
- Act as the daily communication bridge between owners, sales, trip coordination, charter, and operations
- Ensure sales trip confirmations are immediately reflected in JetInsight without delay
- Attend regular coordination meetings with trip support and the sales team to stay ahead of upcoming owner trips
- Maintain organized and up-to-date records for all owner accounts and interactions
- Other duties as assigned
Qualifications
- High school diploma or equivalent
- Warm, personable, and naturally relationship-driven
- Highly organized with exceptional attention to detail — nothing falls through the cracks
- Proactive and anticipatory — thinks ahead so owners never have to ask twice
- Comfortable with aviation management software (JetInsight experience a plus)
- Professional communication skills — polished, prompt, and personal in every interaction
- Experience in luxury hospitality, concierge services, VIP client management, or aviation preferred
- Thrives in a fast-moving, high-expectation environment with grace and composure
