We are seeking a dynamic and detail-oriented Flight Coordinator to join our aviation team! Duties
- Coordinate flight scheduling and trip execution for company aircraft in compliance with FAA Part 91 and international regulations.
- Plan and execute domestic and international itineraries, including route evaluations, permits, diplomatic clearances, and regulatory compliance.
- Serve as primary liaison between executives, executive support teams, flight crews, and global third-party providers.
- Coordinate with international handlers, FBOs, and trip support providers to ensure seamless operations.
- Manage real-time trip logistics including weather, NOTAMs, airspace restrictions, and operational risks.
- Collaborate with flight crews on flight planning, fuel planning, and routing to meet mission requirements.
- Maintain accurate flight, crew, and passenger information in scheduling systems including Avianis/BART, ForeFlight, and Portside.
- Coordinate supplemental lift, including charter aircraft and contract crew, as needed.
- Deliver a high-touch passenger experience with discretion, flexibility, and responsiveness.
- Communicate schedule changes and operational updates proactively to all stakeholders.
- Maintain detailed trip documentation and ensure compliance with company policies and data privacy standards.
Requirements
- Experience coordinating international flight operations, including permits, diplomatic clearances, and global trip logistics.
- Background in corporate, business, or private aviation with Part 91 flight coordination or dispatch experience.
- Strong knowledge of international aviation regulations, including FAA and European authorities (EASA, CAA).
- Experience supporting long-range, large-cabin aircraft operations such as Gulfstream.
- Proficiency with flight planning and scheduling tools including ForeFlight, Avianis/BART, Portside, or similar platforms.
- FAA Aircraft Dispatcher License preferred, or equivalent operational experience.
Pay: $90,000.00 - $100,000.00 per year
