EXPORT & IMPORT AGENT
POSITION: FULL-TIME, PART-TIME NON-EXEMPT
REPORTS TO: SUPERVISOR, OFFICE
Export & Import Cargo Agents are engaged in routing of import and export air freight shipments to their destinations by performing all required documentation task, both electronically and hard copy. This individual interfaces with customers on various levels, ensuring the accurate and timely movement of cargo.
Skills and Qualification
Familiarity with common office processes, including filing, handling mail and directing telephone calls
Computer literacy, including familiarity with common word processing, spreadsheet, database and basic accounting software
Accurate and efficient typing skills for data entry, answering emails and other documents
Verbal communication for addressing other employees, customers and other business contacts
Customer service for dealing with members of the public
Organization and ability to multitask for filing and completing several clerical and administrative tasks at once
Attention to detail to ensure all tasks are completed to a high standard, such as taking sufficiently detailed minutes and telephone messages
Integrity and discretion when working with sensitive employee and customer details
English and spanish is required, additional languages is a plus
Export Cargo Agent
Ensure compliance with airline customer requirements
Ensure compliance with all Transportation Security Administration (TSA), Federal Aviation Administration (FAA), Customs & Border Patrol (CBP), and all other applicable regulatory guidelines.
Data Capture using appropriate airline system observing all the specials, including but not limited to HAZMATs, VAL, VUN, are properly capture.
Ensure HAZMAT basked is checked for proper capture and documents handled over to a CAT 6 agent for proper acceptance.
Assign shipments in relevant computer system in accordance with airline booking and load planning.
Ensure compliance with special cargo including, but not limited to HAZMAT, AVI, HUM, VAL and other airline specific products, including NOTOC when applicable.
Ensure special cargo is dispatched to relevant flights in time to meet scheduled departure.
Process accurately the acceptance of cargo observing all Special products for each airline
Breakdown Airway Bills (AWBs) in accordance with airline requirements.
Release flights and checks for completion of data transfer between computer systems to
the extent possible.
Prepare Airway Bills (AWBs) and secure payment from private shippers, when necessary, as permitted by Government Regulations
Ensure that documents are filed with CBP in accordance with required deadlines.
Answer queries, tracing actions in a timely manner
Ensure all additional documentation, such as but not limited to, Dangerous Goods check sheets, are electronically stored in the company’s system Trypod.
Prepare Trip Files
Organized flight documentation, such as export acceptances for post flight filing
Follow up flight loading for possible offloads and update documentation in case of any occurrence
Ensure each flight is customs cleared
Perform daily flight reconciliation
Send required post flight reports
Import Cargo Agent
Crosscheck inbound flight manifest for partial shipments after flight release by overseas stations
Prepare and edit required data in the relevant ACE system and ensure transmission, where required observing the Customs & Border Patrol (CBP) deadline.
Perform nominations for inbond warehouses and transfers to other airports
Prepare Carrier Certificates for all inbound manifested shipments as well as for House Airway Bills (HAWBs) where applicable
Note all Collect Shipments
Receive documents pouch from flights.
Match AWBs and attached documents with previously prepared Carriers Certificates.
Prepare breakdown & freight check in manifests for warehouse staff use, including special handling instructions or storage requirements.
Make available all documentation requested for CBP inspections
Sort & distribute AWBs in accordance with established policies & procedures.
Document locations received from check in process on correct tallies, verifying totals for accuracy.
Initiate discrepancy messaging as appropriate after completion of flight breakdown at the warehouse.
Finalize the inbound flights in the airline system
Prepare Documents for distribution to Brokers and Consignees.
Assign documents to messenger service company’s pickup slots.
Notify Consignees and/or Brokers as required.
Distribute documents to correct Brokers, Consignees or messenger service Companies.
Finalize shipments in Computer systems when required.
Obtain US Customs Release for aircraft & freight.
Other basic duties assigned such as answering emails, answering phone.
Ensure all additional documentation, are electronically stored in the company’s system Trypod.
Daily check for shipment due for G. O.
Job Type: Full-time
Pay: $21.91 - $22.00 per hour
Experience:
- Warehouse experience: 2 years (Preferred)
