Job Overview
The Charter Sales, Scheduling, and Dispatch Administrator is responsible for managing end-to-end charter flight operations, including client engagement, flight quoting, scheduling, crew coordination, and FAA compliance for Part 135 operations. This role serves as a critical link between customers, flight crews, and operational leadership to ensure seamless, safe, and compliant charter flight execution.
Key Responsibilities:
Charter Sales and Client Services:
● Respond to charter inquiries via phone, email, and online platforms in a timely and professional manner.
● Actively pursue additional revenue opportunities by using all available charter platforms, established relationships, and prospective calling
● Provide accurate and competitive charter quotes in compliance with company pricing and FAA Part 135 guidelines.
● Build and maintain client relationships to foster repeat business and long-term partnerships.
● Coordinate with marketing or business development teams to promote charter services.
Scheduling and Operations Planning:
● Create and manage flight schedules in accordance with crew availability, duty/rest regulations, and aircraft maintenance status.
● Assign and notify crew members of scheduled trips, ensuring duty limits and qualifications are met.
● Monitor and update flight itineraries, crew schedules, and trip logistics in scheduling software (JetInsight, FlightBridge, ).
Dispatch and Flight Coordination:
● Coordinate pre-flight and post-flight operations, including weather analysis, NOTAM review, FBO arrangements, and required documentation.
● Ensure that all flight activities are conducted safely and within regulatory compliance under FAR Part 135.
● Liaise with maintenance, pilots, and third-party vendors to confirm aircraft readiness.
● Maintain real-time communication with flight crews to monitor trip progress and resolve issues as they arise.
Regulatory and Recordkeeping:
● Ensure compliance with FAA regulations, company policies, and operational specifications.
● Maintain accurate records of flight logs, crew duty/rest, and aircraft time.
● Assist in audit preparation and regulatory reporting as needed.
Qualifications:
Education and Experience:
● High School diploma or equivalent required; Bachelor’s degree preferred.
● 2+ years of experience in Part 135 operations, aviation dispatch, or charter sales.
● FAA Aircraft Dispatcher Certificate preferred but not required.
● Experience with aviation scheduling and dispatch software
Skills and Competencies:
● Strong understanding of FAA Part 135 regulations and operational control standards.
● Excellent organizational and multitasking abilities.
● Strong interpersonal and customer service skills.
● Ability to work independently and in a fast-paced, high-stakes environment.
● Proficiency in Microsoft Office Suite and aviation software platforms.
Work Schedule:
● Flexibility required to work varying shifts, including weekends, holidays, and on-call availability as needed.
